What is a Reporting Template and where do I find it?

With 300 delivered Monitors and the opportunity to create more, there is a lot of data to analyze. That’s not Eesy!

So…

To give a clearer picture of the information recorded by our Monitors, we can group them into categories of similar type, or Tool Groups.

Reporting Templates allow the data gathered by Monitors to be displayed in the Tool Adoption and Course Activity Reports. If a Monitor is not assigned to a Reporting Template, the results will not be available for review or action. Therefore, it is VERY IMPORTANT that you add any new Monitors to the Reporting Templates as soon as they are created so that this information is not lost to you. Let’s have a look at how the Instructor Detailed Reporting Template structure can be seen in the Tool Adoption Report.

The Tool Adoption Report shows results down to the lowest sub-folder level. You can add more than one Monitor to a folder but then you will only see the sum of the results of these Monitors in the EesyReports Suite.

What Templates are already available?

We have set up 4 Reporting Templates for you. These delivered Templates are structured according to the 4 main types of user found in your LMS. They are:

Student: All users with a Student role in LMS

Instructor Detailed: All users with an Instructor role in LMS, the Instructor Detailed Reporting Template contains all Tools found in both the Instructor Developer and Instructor Coach Templates. It therefore captures all Instructor activity across the LMS.

Instructor Developer: Items, or Tools related only to course development.

Instructor Coach: Items, or Tools related to teaching a course.

Each Template is split into the same 5 areas and contains the same structure of Tool Groups.

The Tool Groups in the delivered Templates are:

  • Assessment and grading
  • Collaboration during learning activities for students
  • Communication: from teachers to students eg. Timetables and Announcements
  • Content: development and presentation of learning materials
  • Course Management: tracking of and reporting on individual student-teacher learning optimization, eg. Retention Center, Course Statistics

Each Tool Group contains subgroups, down to a single Monitor allowing you to see overall trends and then drill down on particular areas.

The Reporting Templates aren’t set in stone

There are several reasons to change and update the Reporting Templates. We mentioned one earlier, but it’s so important, it’s worth saying again:

  • Keeping track of custom Monitors Whenever a new Monitor is created, it must be added to the Reporting Templates for the data to be available in the EesyReports Suite. To see how, please go to Connect a Monitor to a Reporting Template.
  • Changing titles of Tool Groups and Sub Segments You can rename the folders to make them more intuitive when seen from the reports.
  • Removing Tool Groups If there are Tools that aren’t used by your Institution, you can remove their related Monitors and Sub Segments from the Reporting Template.
  • Changing the default Reporting Template Are you always having to change the Reporting Template to get to the data you’re interested in? You can set it so the structure of the data you see on opening a report is tailored to you. To change the Reporting Template default, please jump to Change the way you see things by resetting the default Reporting Template.

Changing the Reporting Template

You can rename the Tool Groups and Sub Segments in the Reporting Template so that they display differently in the reports.

TIP! Remember, the folder name is what you see in the EesyReports Suite so make sure they’re clear.

Simply highlight the folder you want to change and click on the icon.

You will notice that this edit function is not available when a Monitor is highlighted. To change the name of a Monitor, go to What is a Monitor and where do I find it? The Monitor details will automatically update in the Reporting Template.

Removing items from the Reporting Template

You can also remove Tool Groups, Sub Segments and Monitors from the Reporting Template.

Simply highlight the item you want to remove and click on the icon.

You will be prompted to confirm that you want to delete the item. Click on Yes, then on Done to save your changes. If you are deleting a Tool Group or Sub Segment, you do not need to remove the Monitors first.

You can also set it up just the way you like it by creating your own Reporting Template

If you would like to group your Monitors in a different way, you can create your very own Reporting Template.

Please be aware of the following guidelines when creating a custom Reporting Template.

  • Is the data you wish to view not available in an existing Template?
  • Is this Template for a particular User Group or Role Category? To find out more about User Groups, please go to User Groups, Roles, and everything in-between.
  • Which Tools do you wish to review in this Report Template? You don’t have to include all Monitors in the Template.
  • Do you have the specifics you want? No? then connect some more Monitors!! Go to Connect a Monitor to a Context
  • Is the custom Template more useful to you than the existing Templates? You can set your custom Template as the default Template for the reports. Then, next time you log in, you don’t have to mess around with this report selection option. To do this, go to Change the way you see things by resetting the default Reporting Template

Follow the steps below to create a custom Reporting Template.

1.

Open up the EesyProducer and log into the relevant environment.

Navigate to Management / Reporting Templates.

A new window will pop up displaying the available Reporting Templates.

TIP! Its a good idea to plan out your Template structure before starting to build. Which Monitors are you going to group together and what are you going to name the group?

Click on the icon to create a new Root folder for your Template.

Now, you need to assign the type of users for which this Reporting Template is applicable.

Is it for Student Tools only? Or perhaps you wish to see Tools used by both Students and Instructors (All).

TIP! Remember, the folder name is what you see in the EesyReports Suite so make sure they’re clear.

With your new Root folder highlighted, click on the to create subfolders for your Template.

You can create as many folders as you like. Just select the folder under which you want to add a subfolder and keep going.

Now you can attach your Monitors to the folder structure you have created.

Highlight the folder, then search for and highlight the Monitor you want to connect. Click on the green arrow to copy it over.

You can select and connect more than one Monitor at a time. To do this, hold down the Ctrl key on your keyboard as you select your Monitors.

Congratulations! You have now created your very own Reporting Template.

Now let’s find out how to make this your default.

Change the way you see things by resetting the default Reporting Template

Now you have created your ultimate structure for the reports, let’s set it so that this is the structure you see when you open a report from the EesyReports Suite.

Follow the steps below to change your default Reporting Template.

1.

Open up the EesyProducer and log into the relevant environment.

2.

Navigate to Management / Reporting Templates.

A new window will pop up displaying the available Reporting Templates.

The default Template is that which shows Yes in the columns Main and Course – Student.

Now you can update this setting as required.

To change the default Reporting Template for the Tool Adoption Report:

Click on the intersection of the Root folder of your preferred Reporting Template and the column entitled Main and select Set as Main.

You will notice that the Main column now says Yes next to your chosen Reporting Template.

To change the default Reporting Template for the Course Activity Report:

Click on the intersection of the Root folder of your preferred Reporting Template and the column entitled Course – Student and select Set as User Course Main.

You will notice that the Course – Student column now says Yes next to your chosen Reporting Template.

4.

Now, simply click on to save and exit.

Congratulations! You have changed your default Reporting Template.
